Ordering & Cancelling

How can I buy your products?

We sell our products through our three stores here and also by taking advance orders through our online ordering system here, and by email and phone (416-504-2253 ext 105).

What is the cancellation policy?

Same-day orders, and orders placed after 3 pm for the next day, are placed into the baking queue immediately so these orders cannot be changed or refunded.

Future Orders may be changed as follows but please note, if we have made custom toppers, our cost will be deducted from the refund:

  • For cupcakes – All cancellations/modifications must be made by 3 pm the day before pick up or delivery.
  • For Homestyle & Designer Cakes – All cancellations/modifications to Homestyle Cakes must be made by 3 pm two days before pick up or delivery, and for Designer Cakes, by 3 pm three days before pick up or delivery.

Ordering Details

How far ahead do I need to order?

For future orders for cupcakes must be placed by 3 pm one day before pick up or delivery. Future orders for Homestyle Cakes must be placed by 3 pm two days before the desired delivery or pick up date.

We offer a limited menu from 3 pm the day before to 11 am the day of pick up or delivery. Pick up and delivery times for this menu are from 12 noon to 6 pm. Place an order here.

Can I place an order on the same day?

Yes, until 11 am each day we offer a limited last minute menu for pick up starting at 12. Delivery is available between 1 – 3 pm or 3 – 5pm. Place an order here.

Why are some dates or times blocked off in the ordering online calendar?

We do our very best to accommodate advance orders but when we reach baking capacity for a given date, our commitment to “fresh-baked-today” requires us to close advance orders.

What does “half icing” mean?

We use a generous amount of icing on our Mini and Classic cupcakes so for customers looking for a lighter treat, if you request “half icing”, the bakers will pipe approximately half the quantity of icing on these sizes. Half icing cannot be requested on the Cutie size or on the Homestyle Cakes as less icing on those products would not be enough to cover the cake base.

How large are the 3 sizes of cupcakes?

How large are the 3 sizes of Homestyle Cakes and how many people do they serve?

Our Homestyle Cakes are as follows:

  • 6 inch round cakes serving 6 to 8 people,
  • 9 inch round cakes serving 12 to 15 people; and
  • 8 inch by 12 inch rectangle cakes that serve approximately 24 people.

* Please note that our serving estimates are suggestions only and may vary depending on the appetites of your guests.

Dressing Up Orders

How can I dress up my cupcake order?

You can dress up your cupcake order with sugar toppers that we have on hand, custom fondant toppers or plastic picks. We also have a variety of boxes and ribbons and bows.

Sugar Toppers

To easily dress up cupcakes of any size (Cutie, Mini or Classic), choose from among the large selection of edible sugar toppers that we keep on hand. These are available for many holidays and occasions. You can indicate the type or theme of your event in your email to the Catering Coordinator or in the Comments section when ordering online. We do not recommend freezing sugar toppers as they may disintegrate.

Custom Toppers

Dress up your Mini or Classic size cupcake order by requesting custom fondant toppers made with edible food colouring printed on fondant shapes.

(Note: custom fondant toppers do not fit on Cutie size cupcakes).

You will need to provide the image to us in a JPG (minimum 600px wide; PG-rated logo/graphic only). We do our very best to achieve an exact match to the colours in the artwork provided to us, however, due to the nature of food-safe colours, we cannot guarantee this. We do not recommend freezing custom fondant toppers.

Plastic Picks

An easy way to dress up our cupcakes of any size is to select from our large assortment of whimsical plastic picks, perfect for a range of holidays and special occasions. You can indicate the type or theme of your event in your email to the Catering Coordinator or in the Comments section when ordering online.

How can I decorate a Homestyle Cake?

Choose between a message piped in icing, or an image directly printed on your cake with edible food colouring. Either option can be ordered by email at orders@prairiegirlbakery.com or by ordering online.Custom Cakes

If requesting a printed image, you will need to provide it to us in a JPG (minimum 1200px wide; PG-rated image only).

We do our very best to achieve an exact match to the colours in the artwork provided to us, however, due to the nature of food-safe colours, we cannot guarantee this.

Homestyle Cakes with either piped messages or a printed image freeze well.

Do you sell birthday candles?

Yes, online and in the stores, we sell small birthday-cake type candles that we can insert into regular size cupcakes. If you are ordering mini cupcakes, we will place the candles into the box for you to insert later.

Do you sell greeting cards and will you write a message for me?

Yes, we have beautiful Prairie Girl Bakery photo greeting cards which have a photograph of our luscious cupcakes on the front and are blank inside to write your own message. Please indicate in the Comments section if you would like the card which features cupcakes decorated with a birthday motif; the other PGB photo greeting cards are appropriate for any occasion.

We will be happy to write any message you like in the card if your order is being delivered.

Product Care

How do I care for my products?

Because we do not use preservatives, our Prairie Girl baking is always best served the day of purchase. Our cupcakes and Homestyle Cakes are especially delicate, so please use care when transporting them.

Here are a few tips to keep in mind:

  • The cardboard insert in your box is intended to keep your cupcake upright but unfortunately, if the box is tipped over, the cupcakes will fall out. Please try not to tip the box. To minimize the chance of tipping the cupcakes out of the insert, if you have requested a bag for your cupcakes, you may wish to keep a hand on the bottom of the box to ensure it stays upright.
  • Traveling can be hard on our freshly made cupcakes and their butter-based icings, so if you are taking your PGB cupcakes by plane, train or automobile, refrigerate or freeze them first to let the icings set. In this way, they will arrive at your destination in pristine condition.
  • If you are ordering your cupcakes online and you plan to travel any distance after you pick them up, feel free to ask us to chill your order by selecting that option as you are checking out online, or by asking our Catering Coordinator if you are ordering by phone or email.
  • If you need to store your cupcakes, keep them at cool room temperature because the fridge will dry them out. For overnight storage, place the products in an airtight container and freeze (no more than a week please) and then, 2 to 3 hours before you wish to serve them, bring the baking to room temperature. Our delicious butter and cream cheese icings are best enjoyed soft and creamy so try to give Prairie Girl cupcakes enough time to thaw.
  • Don’t microwave any of our products to thaw them as this can easily cause the icings or chocolate pieces to melt.

Allergies

Is any of your baking safe for people with nut, dairy, soy or gluten allergies or sensitivities?

We use all types of nuts and peanut butter in our kitchen so people with sensitivities or allergies to nuts or peanut butter should not eat Prairie Girl baking.

Prairie Girl Bakery
We use products containing soy lecithin and soybean oil in many of our cupcakes, and in our vegan cupcakes, we use soy protein products such as soy milk. Accordingly, people with sensitivities or allergies to soy products should not eat Prairie Girl baking.

We bake a gluten free version of all our cupcakes, and a vegan version of some of our cupcakes, using reasonable precautions in selecting ingredients which meet these dietary restrictions, as advised by the manufacturer. We also do our best to avoid cross contamination among batches of our baking, gluten free cupcakes and vegan cupcakes. Whether you order in advance or in the store, we will always package your vegan and gluten free cupcakes in a box only containing that type of cupcake to further minimize the possibility of cross contamination.

Gluten Free Products

Do you offer gluten free products?

Yes. Please see our online menu to see which cupcakes and cakes are available in a gluten free version.

Many of our Treats of the Week are available in gluten free; this information will be provided each week on the website as part of the descriptions of the Treats of the Week.

What precautions do you take to ensure your gluten free products are safe for celiacs?

We use reasonable precautions in selecting ingredients which meet gluten free dietary restrictions, as advised by the manufacturer. We also do our best to avoid cross contamination among batches of our regular baking and gluten free cupcakes. However, although we do our very best to avoid cross-contamination in these specialty items, we cannot guarantee that cross contamination won’t occur.  We only have one kitchen in each store in which all baking is done.

Whether you order in advance or in the store, we will always package your gluten free cupcakes in a box only containing that type of cupcake to further minimize the possibility of cross contamination.

Frozen packaged gluten free mini cupcakes are also available for purchase on the online ordering page.

Do you offer any products that are both vegan and gluten free?

No, unfortunately we do not offer any items that are both gluten free and vegan.

Do you offer vegan products?

Yes. Please see our online menu to see which cupcakes and cakes are available in a vegan version.

Our Treats of the Week are not usually available in vegan; this information will be provided each week on the website as part of the descriptions of the Treats of the Week.

What products do you use in your vegan baking?

We use soy based baking blend, soy based cream cheese replacement, soy milk and egg replacement.

Nutritional Analysis

Do you have a nutritional analysis for Prairie Girl Bakery baked goods?

We have a nutritional analysis for both our pre-packaged gluten free Red Velvet mini cupcakes and our pre-packaged gluten free Chocolate Strawberry mini cupcakes; find these analyses below.

We do not have nutritional information on our freshly baked products.

Delivery

Do you deliver in and outside of Toronto?

Yes, we do, however if we are fully booked and you are unable to pick up your order at any of our stores, we suggest that you contact Zap Courier by emailing them at info@zaptor.com or calling 416 510 1515. Please make sure that any courier service is aware of the delicate and perishable nature of baked goods especially cupcakes and cakes. If you ask us to do so, we can chill the order before its pick up by the courier to help in its safe delivery.

The two delivery zones shown on the map here, we provide delivery at the cost of $25 (minimum order requirement applies – $40 in Zone 1 and $80 in Zone 2).

The cost and availability of deliveries beyond the two delivery zones on the map must be discussed with the Catering Coordinator in advance to ensure we have the delivery capacity and that your order arrives safely and on time.

You can help us make your delivery perfect by providing as much information as possible when placing your order. If you order online, please use the Comments box to provide information about your loading dock location and its access, buzzer codes, and contact information for a person at the delivery location.

Can I request an exact time for my delivery?

Because of the number of deliveries our delivery person makes each day, although we can’t confirm an exact delivery, we can confirm that an order will be delivered in your choice of these windows: 

Monday to Friday:

  • 9-11 am
  • 11-1 pm
  • 1-3 pm
  • 3-5 pm

Saturday:

  • 10-12 noon
  • 12-2 pm
  • 2-4 pm
  • 4-6 pm

You can also contact a courier company as it may be able to provide a delivery within a smaller window, for example, Zap Courier can be reached by emailing them at info@zaptor.com or calling 416 510 1515. Please make sure that any courier service is aware of the delicate and perishable nature of baked goods especially cupcakes and cakes. If you ask us to do so, we can chill the order before its pick up by the courier to help in its safe delivery.
